Choose a sequence
The simplest approach is 1001, 1002, 1003. A prefix such as INV-2026-001 can make the year or document type visible. A project prefix can help a contractor reconcile several jobs, provided the sequence remains unique.
Keep corrections traceable
Do not quietly overwrite a sent invoice. Follow your records and agreement for voids, credit notes, or replacement invoices, and reference the original number. Keep the reason and date in your internal record.
Use the number across the workflow
Put the identifier in the invoice filename, subject, payment reference, and follow-up notes. This makes it easier to connect the customer's question, remittance, and receipt to one record.

INV-2026-014 can mean the fourteenth invoice in the 2026 sequence. The label is an example, not a statutory requirement. Choose a convention your records can maintain consistently.
