What goes on a sales receipt
A sales receipt is an invoice's shape with a receipt's meaning: the same item grid, but everything on it already happened. The fields:
- Receipt number — one sequence, in order, separate from any invoice numbering you use. Two documents with the same number is the outcome to avoid.
- Date of sale — the sale and the payment happened together; one date covers both.
- Seller details — business name, contact, and where returns or questions should go. On a receipt handed to a stranger at a market stall, the contact line is the difference between a customer and a chargeback.
- Sold to — optional for a walk-up cash sale, worth filling for anything with a warranty, a serial number, or a delivery to arrange.
- Line items: description, quantity, unit price, line total — specific enough to identify what left: "Bookshelf, oak, 5-shelf" rather than "furniture". For serialized goods, put the serial number in the line.
- Subtotal, tax and total — enter the tax rate and amount you charge; the template adds nothing on its own. If no tax applies to the sale, write zero rather than leaving the line blank — a blank reads as forgotten.
- Payment method — cash, card, or transfer reference, next to the total it settled.
- Received by — whoever took the payment signs or initials. It's still a receipt: somebody received the money, and the paper should say who.
A filled-in sales receipt, line by line
Here is a completed sales receipt from a small maker's stall — three line items, hand-entered tax, and a total that adds up on its face:

The line items are doing the real work. "3 × $14.00" means that if one candle comes back cracked next week, everyone can see what one candle cost — a receipt that just says "Goods — $64.95" turns a $14.00 refund into a negotiation. The tax line is a number someone typed in, not a formula: you enter the amount that applies to your sale and your location, and the receipt simply records it.
When something comes back
Handle a return against the receipt, not from memory: find the line item, refund exactly that line's amount, and write a short refund note that references the receipt number ("Refund — 1 soy candle from receipt 0517, $14.00"). Keep both papers together. The original receipt plus the refund note tell the whole story in two documents; editing or reissuing the original tells no story at all, and makes your daily totals impossible to reconcile.
If you're the buyer keeping the receipt
An itemized receipt is what expense claims, warranties and returns all ask for — the card terminal slip proves you paid, but only the itemized receipt proves what you paid for. Check the line items before you walk away, and keep the receipt at least as long as the return window or warranty runs.
Frequently asked questions
What's the difference between a sales receipt and an invoice?
A sales receipt records a sale that's already paid; an invoice requests payment for later. Same grid of items and amounts, opposite tense. If your customer pays on the spot, the sales receipt is the only document the sale needs.
Can I use the sales receipt for services instead of goods?
Yes — write the service as the line item, the way you'd want it remembered: "Lawn mowing, front and back, June 14" rather than "services". The quantity column takes hours or visits as easily as pieces.
What about the tax line?
The tax line is yours to fill: enter the rate and amount you charge on the sale, and the Excel version leaves that cell for you to type — nothing on the template works tax out for you. What rate applies to what you sell is a question for your accountant, not this page.
How do I document a refund?
With a separate refund note that references the original receipt number and names the exact line refunded — never by altering the original. The pair of documents keeps your daily totals honest: the sale happened, and the refund happened, on two different dates.
The card terminal already prints a slip. Do I still need a sales receipt?
The terminal slip proves a card was charged; it usually says nothing about what was sold. The sales receipt carries the line items — which is what the customer needs for a return, a warranty claim or an expense report. Small sellers often staple the two together.
How long should I keep my copies?
Keep them at least through your return window and warranty period, and as part of your sales records for tax season. A numbered sequence of receipts is the simplest evidence of what your business actually took in.
