What is a recurring invoice?

A recurring invoice is created for the same client on a fixed schedule. Each period receives a separate invoice number, issue date and due date. Invosmith creates the invoice; the client makes the payment.

How it works: set it once, bill every period

Invosmith turns one invoice into a schedule: on each date it creates the next invoice, sends it or saves it as a draft, and keeps it in the schedule's history.

The schedule saves the client, line items, amount and payment terms. Each new invoice receives the next invoice number and its own dates.

How to set up a recurring invoice

Setting up a recurring invoice comes down to five choices: what to bill, how often, when it starts and ends, what happens to each invoice, and how your client pays.

Getting paid on recurring invoices

Pro includes card payment links with the account requirements below. Payments go to your own Stripe account; Stripe processing fees apply.

Card payments are recorded on the invoice as they arrive, so a paid month shows as paid without you touching it. For a bank transfer or cash, record the payment against the invoice; part payments keep the remaining balance open.

Pause, stop or fix a schedule

A schedule stays under your control: pause it, resume it or stop it at any time, and every invoice it has already created stays in your records.

Pause a schedule while a contract is on hold or a client is away. Resume advances to the next future scheduled date and skips dates that passed while paused. Stop ends the schedule. A schedule with an end date completes when its next date would fall after that end date; the After option sets this end date from the selected number of periods, rather than counting invoices actually created.

When the price changes for good, such as a new rate from January, stop the old schedule and start a new one from that date, so every invoice before and after the change matches what you agreed.

Who recurring invoices are for

Invosmith suits retainers and regular services billed by invoice. It schedules invoices rather than automatically charging a stored card, and it does not replace bookkeeping, payroll or a subscription-management system.

Frequently asked questions

How is invoice scheduling different from subscription billing?

Invoice scheduling creates a separate invoice for each billing period and leaves payment to the client. Subscription billing can collect payment from a stored card for a recurring plan. Invosmith schedules service invoices and does not automatically debit cards.

Does resuming create invoices for skipped periods?

No. Resume advances to the next future scheduled date. Dates that passed while the schedule was paused are skipped; invoices already created remain in your records.

Does After a number of invoices guarantee that many invoices?

No. After converts the selected number of periods to an end date, rather than counting invoices actually created. Paused periods are skipped, so fewer invoices can be created. The schedule completes when its next date falls after the end date.

Is Invosmith a replacement for bookkeeping software?

No. Invosmith creates, sends and tracks invoices; use a separate system for bookkeeping, payroll and financial reporting.

Will clients be charged automatically?

Invosmith schedules invoice creation and delivery, not automatic card debits. Clients open the invoice and pay by card on Pro when an eligible Stripe account is connected and card payments are enabled on the invoice.

What is the difference between a recurring invoice and a regular invoice?

A recurring invoice is created by a schedule; a regular invoice is one you create yourself each time. To your client they look the same: a numbered invoice with dates, items, a total and a way to pay.

What happens in months without a 31st?

If a schedule runs on the 31st, shorter months use their last day, such as 30 April or 28 February.

Can I check each invoice before it goes out?

Yes. Set the schedule to drafts and Invosmith creates each invoice as a draft on its date; you review it and send it when you’re ready.

Can the amount change from month to month?

Yes. Use drafts and edit each invoice before you send it. For a lasting price change, stop the schedule and start a new one at the new amount.

How do clients pay recurring invoices?

On Pro, connect an eligible Stripe account and enable card payments on the invoice so clients can open the link and pay by card. Payments go to your own Stripe account; Stripe processing fees apply. Record bank transfers and cash against the invoice.

Are recurring invoices included in the free plan?
