Choose the billing model that matches the agreement
Use the project layout when the client approved one price for a defined deliverable. Name the deliverable or milestone, reference the proposal or statement of work when one exists, show any deposit already received as a credit, and make the remaining balance unmistakable.
Use the hourly layout when payment depends on time. Give each task or work stream its own hours and rate, state the service period, and reference a timesheet only when the client expects one. A short work summary is more useful than a vague line such as “freelance services.”
What a client needs to approve a freelance invoice
Include your trading name and contact details, the client and billing contact, a unique invoice number, invoice date, due date or payment terms, project or purchase-order reference when used, clear line items, subtotal, any applicable tax, credits or deposits, and the balance due. Use the currency agreed with the client and keep the payment instructions consistent with the agreement.
For creative or professional work, describe the delivered outcome without putting confidential material on the invoice: “Brand identity — final asset delivery” is easier to approve than “Design.” Keep detailed scope, revisions and usage rights in the proposal or contract; use the invoice to connect the approved work to the amount due.
Deposits, milestones and reimbursable expenses
If the client paid a deposit, show the full project or milestone charge, then add the deposit as a dated credit with its receipt or earlier invoice reference. The balance due should reconcile without forcing the client to search through email.
List approved expenses separately with a date or description and keep the receipts with your records. Do not quietly add unapproved travel, software or rush fees. If the scope changed, point to the written approval that created the extra charge.
Freelancer or independent contractor?
