Quote and invoice software for service businesses
Invosmith is quote and invoice software for service businesses that price jobs before they start. Pro lets you send quotes for online acceptance and convert accepted quotes into invoices.
Fictional customers and quote records.
How quote to invoice works
Store the client and item details once, then carry the agreed lines from quote to invoice. Pro includes card payments; see the account requirements below.
Everything about the job stays on one record: the quote, the date it was accepted, the invoice it became and the payment that closed it. To follow every unpaid invoice across all your clients, use invoice tracking.
Fictional quote and payment history.
Free to quote. Pro to send and get paid.
Writing and saving quotes is free. Pro adds sending, online acceptance, quote-to-invoice conversion and card payments. Pro costs US$15/month or US$99/year (US$8.25/month billed yearly).
You keep every payment; only Stripe's standard processing fees apply. See every feature side by side when you compare plans.
Why service businesses send quotes from Invosmith
Keep the quote, acceptance and invoice together as the job moves from pricing to payment.
Send the quote before you leave the site
Use saved clients and rates to send the quote link from your phone.
Know where every quote stands
Each quote shows its status in your list: Sent, Accepted, Declined or Expired. Viewed records a link visit.
A yes you can point to
Acceptance records the agreed lines, total and date. List extras separately so the scope stays clear.
Invoice without retyping
One click turns the accepted quote into an invoice with the same client, lines and prices. Your saved price list keeps every new quote consistent too.
Get paid sooner
Pro includes card payments. Unpaid invoices sent with reminders enabled receive reminders on the due date, then one and two weeks later; reminders stop once paid.
What your client sees
Your client sees one clean page: your details, the work line by line, the total, the valid-until date, and two buttons, Accept and Decline.
A quote that gets a quick yes names the work in plain words, keeps labor and materials on separate lines, says what is excluded and gives the price an end date. The guide on how to write a quote walks through each part with a worked example.
Need a file to fill in instead? The quote template has the same layout in PDF, Word and Excel.

Quote or estimate?
A quote states a price for defined work; an estimate states an expected price where the work or cost may change. Describe the scope and price basis in either document.
Whichever word you use, an Invosmith quote works the same way: a numbered document with a valid-until date, accepted or declined online, then one click to an invoice. The guide to the difference between a quote and an estimate covers when to use each, and invoice vs quote shows where the invoice takes over.
How to choose quote and invoice software
Compare online acceptance, conversion, saved clients and payment collection against the billing tasks your business needs covered.
| What to check | Why it matters | Invosmith |
|---|---|---|
| Online acceptance | A yes on the quote itself is clearer than a reply buried in email. | Accept or Decline on the quote page |
| Quote to invoice | Retyping is where lines go missing. | One click; client, lines and prices carry over |
| Follow-up | Many quotes need one nudge before they lapse. | One conditional reminder; timing requirements below |
| Online payment | Card payment on the invoice shortens the last step. | Pro card payments; account requirements below |
| Predictable price | Per-user or per-quote pricing grows with you. | US$15/month or US$99/year (US$8.25/month billed yearly), unlimited invoices |
| Works on site | Quotes get written where the job is. | Any browser, phone included |
| Your currency | Clients pay in the currency they were quoted in. | Pro workspace: USD, GBP and AUD |
Sales-quoting tools suit teams that assemble quotes from supplier catalogs, approval rules and product bundles. If your quotes are labor, materials and a few extras for one client at a time, a job-quoting tool gets the quote out faster and keeps the invoice in the same place.
Invosmith suits freelancers, trades and service businesses that quote individual jobs and invoice their clients. It does not replace full accounting, bookkeeping, payroll, crew scheduling or sales catalog configuration.
Built for jobs you price before you start
Invosmith suits any business that prices a job before doing it and invoices once the work is done.
For trade and job billing, the contractor invoicing software page covers estimates, invoices and payment records.
Prefer to start from a file? The job estimate template lays out labor, materials and exclusions in Word, Excel and PDF.
Questions about quoting and invoicing
Should I use software or a downloadable template?
A template suits an occasional document you fill in and send yourself. Invosmith suits repeat quoting with saved clients and items, with online acceptance and conversion on Pro.
Does this replace bookkeeping?
Invosmith handles customer quotes, invoices and payment records. Keep bookkeeping, payroll and financial reporting in a separate system.
Can I send a quote and an invoice from the same platform?
Yes. On Pro, send a quote as a link, let your client accept it online, then convert and send the invoice from the same place.
How does my client accept a quote?
They open the link in the email and tap Accept or Decline on the quote page. It works in any phone or laptop browser, and your client needs no account.
How do I convert a quote into an invoice?
Open the accepted quote and convert it. Invosmith creates an invoice with the same client, lines and prices, ready to check and send.
What happens when a quote expires?
After its valid-until date, the quote shows as Expired. Copy it to send a fresh quote with new dates and the same lines.
Can Invosmith follow up on a quote for me?
Yes. When reminders are on and you send the quote at least three days before its valid-until date, Invosmith schedules one reminder three days before that date if your client has not answered. Quotes sent later have no scheduled follow-up.
Is quoting free?
Yes. A free account saves unlimited quotes, clients and price-list items. Pro costs US$15/month or US$99/year (US$8.25/month billed yearly) and adds sending, online acceptance and quote-to-invoice conversion.
What fees apply to card payments?
Pro card payments require a connected, eligible Stripe account and card payments enabled on the invoice. You keep every payment; only Stripe's standard processing fees apply. Card payments go straight to your own Stripe account.
Which currencies can I quote in?
The Pro workspace editor offers USD, GBP and AUD. Each quote and invoice keeps its own currency. The free estimate generator offers 20 currencies, including USD, EUR, GBP, AUD, CAD and NZD.
Do I need to install an app?
Invosmith runs in the browser on your phone, tablet or computer, so you can write and send a quote from the job site.
