    Keep Invoice selected or switch to Estimate, then choose General or an industry preset. The preset changes the line-item prompt, quantity label and practical notes without locking the form.

    Enter the people, dates and work

    Add your business and customer details, invoice number, issue date and due date. Describe each product or service on its own line, then enter its quantity and rate.

    Check the customer view and download

    Review the live preview, choose the layout and confirm the totals and payment instructions. Download the PDF when the document says exactly what you intend to send.

Field by field

What to put in each part of the invoice

Complete the fields in the editor from top to bottom. These short explanations match the form; the step-by-step guide to making an invoice goes deeper into wording and document structure.

From and bill to

Use From for the business or person issuing the invoice. Use Bill to for the customer receiving it; the optional email and address fields keep delivery details next to the name.

Invoice number

Give each invoice a unique number that you can find again. Invosmith starts with INV-001, and you can replace it with the numbering pattern you already use.

Issue date, due date and terms

The issue date records when you created the invoice. The due date and payment terms tell the customer when you expect payment, whether that is on receipt or after a set number of days.

Line items

Name the work or product in plain language, then enter quantity and rate. Use separate lines when the customer should be able to match each amount to a deliverable, visit, hour block or material.

Discount and tax

Enter a discount or tax amount only when it applies to this invoice. The editor does not choose a tax rate for you; it adds the amount you enter to the totals shown in the preview.

Payment instructions and notes

Payment instructions are where you can provide the method and reference the customer should use. Notes are better for a short thank-you, scope reminder or delivery detail.
